How to Screen CVs Like a Recruiter

CV screening is one of the first skills you’ll use as a recruiter — and one of the easiest to learn. Done well, it lets you quickly identify the right candidates without wasting hours. Here’s the system professional recruiters use.

What CV Screening Actually Is

Screening is the process of reviewing applications against a role’s requirements and deciding who’s worth progressing. The goal isn’t to read every CV word-for-word — it’s to make fast, accurate decisions at scale.

The 30-Second Scan

Experienced recruiters don’t read CVs top to bottom on the first pass. They scan for key signals in about 30 seconds:

  1. Relevant job titles — do their recent roles match the brief?
  2. Required skills/keywords — are the must-haves present?
  3. Career progression — is the trajectory logical and stable?
  4. Location and logistics — can they realistically do the role?
  5. Red flags — unexplained gaps, very short tenures, mismatched experience

If the core signals are there, the CV goes into the “yes” or “maybe” pile for a closer read.

Build Your Screening Criteria First

Before looking at a single CV, list the role’s requirements in two columns: must-haves (non-negotiables — missing these = no) and nice-to-haves (bonuses that separate good from great). This stops you being swayed by an impressive-looking CV that doesn’t actually fit.

Reading Between the Lines

Beyond keywords, look for achievements vs duties (strong candidates show results like “grew sales 30%”, not just responsibilities), consistency across roles, and effort (is the CV tailored or generic?).

Handling Gaps and Short Tenures

Don’t auto-reject. A career gap or short stint often has a perfectly good explanation. Flag it as a question for the phone screen rather than a disqualifier — especially important if you’re recruiting career changers yourself.

From Screening to Phone Screen

Screening narrows the pile; the phone screen confirms fit. A good recruiter screens CVs to decide who to call, not to make the final decision on paper alone.

Frequently asked questions

How long should screening a CV take?

A first-pass scan: about 30 seconds. A closer read for shortlisted candidates: a few minutes.

Do I need experience to screen CVs well?

No — with clear criteria and the 30-second scan method, beginners pick this up fast.

Should I reject candidates with career gaps?

Not automatically. Treat gaps as questions to explore, not reasons to reject.
